Job Title: Executive Assistant

Main Duties

Perform a variety of secretarial tasks related to the General Manager’s activities which include; managing the archiving of files, coordinating correspondences, arranging and coordinating conferences, meetings and workshops for UPO Real Estate, as well as handling appointments and schedules for the General Manager.

Major Responsibilities/Duties

  • Arrange for and schedule appointments for the General Manager.
  • Prepare materials for meetings and make other arrangements as required.
  • Perform administrative duties including typing and/or word processing all correspondence, reports and memoranda for the General Manager.
  • Make travel arrangements for the General Manager.
  • Assist the General Manager in managing communication and correspondence with shareholders.
  • Operate office equipment such as photocopiers, fax machines, switchboards, and computers.
  • Receive and process incoming and outgoing mail.
  • Gather and compile information as requested, and prepare required reports/documents.
  • Greet visitors and answer telephone calls, take messages and reply to questions in accordance with general instructions.
  • Type routine correspondence, reports, phone lists, transparencies, and other materials as requested, and proofread them for completeness and accuracy.
  • Monitor fax machines for incoming faxes and send outgoing faxes as needed.
  • Perform other duties related to the job as assigned by the General Manager.

Work Experience

2 years of experience in secretarial work.

Education

Diploma in secretarial studies or equivalent.

Skills, Capabilities and Languages

  • Organization skills.
  • Typing, data entry, and proof reading skills – corrected typing speed of 60 words per minute preferred.
  • Presentable appearance.
  • Interpersonal skills.
  • Fluency in Arabic and English, written and oral.
  • Computer literacy: MS windows applications (word processing, excel, spreadsheets…).

Training

Training courses in office administration, or any other related courses.
